In this issue, we will look back on the history of the Tokyo Head Office with a series of photos and talk with three members of the Head Office Reconstruction Project about work styles at the temporary office.

– Please tell us about the project’s background and what you focused on for the temporary relocation.

The project to select a temporary site during the reconstruction of Tokyo Head Office and to consider the concept of the new office started in earnest in spring 2021.

For the temporary relocation, we particularly focused on discussing the introduction of a free-address system with employees. This system facilitates communication beyond divisions and sections, so all employees were generally happy with the idea. However, there were some concerns related to losing one’s own desk, and reducing documentation was an issue. Through repeated conversations with employees, we understood the gaps between the proposed new work style and current operations and suggested improvements that would allow them to take on the challenge.

In 2020, telework started along with the spread of COVID-19. Initially, there were some issues as members needed to prepare laptops and phones, and some complained that they could not work as smoothly due to differences between the home and office working environments. Having learned from this experience, we don’t want things to be inconvenient for employees in terms of IT when switching to a free-address system.

I believe that, in addition to a free-address system, diverse work styles that are unrestricted by location, documents, and stamps will become accepted in society as the new normal in the future. The next-generation core system will also be adapted to new work styles for the next decade and beyond.

 

– You’re also continuing telework following the relocation, correct?

Previously, there were a lot of operations that could be only conducted in offices, but thanks to the efforts and ingenuity of our employees, we were able to manage for two to three years during the pandemic. I think this is wonderful.

On the other hand, due to decreasing face-to-face communication caused by the spread of telework, there may be employees who feel a sense of isolation or loneliness. With that in mind, I would like to plan events to promote communication in the temporary office. More than anything, now that we have a free-address system, I would like everyone to be aware of the importance of talking to people they have never talked to before and respond to the people who are sitting next to them.

We regard this temporary relocation as a trial to realize an optimal way of working that is unique to IK at the new head office building. And in the future, we would like to spread this new way of working to other IK Group offices.
